Privacy Policy
Last updated: May 12, 2026
This Privacy Policy describes how CapMates, Inc. (“CapMates,” “we,” or “us”) collects, uses, and shares information when you use the CapMates platform.
1. What we collect
When you join the waitlist or create an account, we collect the information you provide: name, work email, company name, state, and operational details (lanes, equipment, MC number, insurance, etc.). When you use the platform, we collect data about your recovery requests, matches, and ratings. We log standard request metadata (IP address, browser, timestamps) for security and analytics.
2. How we use it
We use the information to operate the platform: match brokers with Caps, verify carrier authority and insurance, run the dispute desk, and communicate about your account. We may use aggregated, de-identified data to improve our matching and to publish industry insights on our blog.
3. Verification and public information
For vetting purposes, we query public FMCSA databases and may contact your stated insurance providers to confirm coverage. Your Cap badge — when active — and your public review summary are visible to brokers using the platform.
4. Sharing
We share information with: (i) other platform participants as necessary to complete a match (e.g., your contact details shared with a broker when you accept a recovery); (ii) service providers under contract (hosting, email, analytics); (iii) law enforcement when legally required; and (iv) successors in the event of a merger or acquisition. We do not sell your personal information.
5. Email
Waitlist confirmations and account-related emails are transactional. You can opt out of marketing emails at any time using the unsubscribe link in the footer or by emailing us.
6. Retention
We retain account and transactional records for as long as your account is active and for a reasonable period afterward to comply with legal obligations and resolve disputes.
7. Security
We use industry-standard safeguards including TLS in transit, encryption at rest for sensitive fields, scoped service accounts, and audit logging. No system is perfectly secure; we take reasonable steps and ask the same of you.
8. Your choices
You can request a copy of your data, request deletion, or correct inaccuracies by emailing privacy@capmates.ai. Where applicable, you have rights under state laws including the California Consumer Privacy Act and similar regimes in other states.
9. Children
CapMates is a B2B platform and is not directed to children. We do not knowingly collect information from anyone under 18.
10. Changes
We may update this Policy. Material changes will be communicated by email or in-product notice.
